Executive Assistant - Full Time - Winterthur, Switzerland

We are seeking a digitally proficient and business-oriented Executive Assistant to provide comprehensive support to two senior executives.

 

This role ensures the seamless execution of leadership activities and demands exceptional organizational skills combined with project coordination expertise. The successful candidate will manage complex priorities across multiple stakeholders in a fast-paced environment, acting as a trusted partner to optimize executives’ time. This position offers significant exposure to senior leadership and a broad range of responsibilities, making it ideal for a professional who thrives in dynamic, high-impact settings.
 

Your main tasks and responsibilities:  

 

  • Calendar & Travel Management: Orchestrate two complex calendars, schedule high-level meetings across various time zones, and design seamless domestic/international travel itineraries.
  • Communication & Correspondence: Act as a point of contact for internal and external stakeholders—including vendors, clients, and service providers—managing emails, calls, and inquiries related to travel, meetings, and business needs with professionalism.
  • Meeting Preparation: Take ownership of meeting logistics by shaping agendas, preparing comprehensive briefing materials, and creating or refining presentations. Ensure all follow-up actions are clearly documented, tracked, and completed to maintain momentum on key priorities.
  • Project Assistance: Support executives by coordinating and organizing key initiatives—manage timelines, prepare materials, and ensure stakeholders are aligned. 
  • Event Support: Facilitate events, such as town halls and external fairs—overseeing schedules, interacting with venues, and ensuring all materials and arrangements are in place for smooth execution.
  • Confidentiality: Handle sensitive information with the highest level of discretion and professionalism.
  • Ad Hoc Tasks: Address unplanned and time-sensitive tasks—quickly adapting to changing priorities and providing solutions.

 

To succeed in this role, you will need: 

 

  • Education (higher or post-secondary education) in Business Administration, Management, or another relevant field.
  • Executive Assistant or in a comparable role that combines customer service, stakeholder interaction, and project coordination responsibilities.
  • Skilled in MS Office (Excel, PowerPoint, Outlook) and adept with digital collaboration and organizing tools such as Teams, SharePoint, and scheduling platforms.
  • Strong organizational and time-management skills, with the ability to stay agile in a fast-paced environment. 
  • Proactive in anticipating needs, adaptable to shifting priorities, and motivated to continuously develop professionally.
  • Strong communication skills in English (German is advantageous), within an international environment.
