We are looking for a/an Executive Assistant  to join our Services_AME  team in United States .

 

 

SUMMARY:

Supports corporate objectives by assisting the President and management team, coordinating support staff, and performing administrative functions. Customarily and regularly exercises independent judgment and discretion. Exercises authority as delegated by supervisor(s).

 

Responsibilities

  • Under limited direction, supports President and management team.
  • Coordinates administrative support for the management team and their departments.
  • Maintains schedule of team members.
  • Participates in management meetings, including attendance, taking, and issuing of minutes, and facilitating action issues.
  • Coordinates and maintains all travel and expense related duties for the President and others as needed.
  • Primary contact for Concur & Egencia - setups, updates, terms, and travel manager.
  • Primary contact for expenses.
  • Responsible for annual sales mtg planning
  • Assists marketing with trade show management.
  • Maintain key event/calendar for management team.
  • Develop, maintain, monitor, and assist in communications.
  • Onboarding training and setup of computer/phone/etc.
  • Primary contact for leased company vehicles and program
  • Monitor and identify expense compliance per policy.
  • Maintain and track company sponsored donations/gifts.

 

Desired Skills and Experience

  • 6 years increasingly responsible experience in executive or administrative assistant capacity
  • Ability to oversee confidential material/matters with integrity.
  • Must have high school diploma or equivalent, College degree preferred.
  • Excellent communication (both verbal and written) and interpersonal skills, including highly developed grammatical, punctuation, spelling, and composition skills.
  • Professional demeanor for high visibility position
  • Proficient in MS Office (Word, Excel, Power Point, Visio)
  • Highly organized, with ability to prioritize and work under pressure of multiple directors, tasks, and deadlines.
  • Ability and willingness to work within a team environment in support of company objectives.
