We are looking for an Administrative Assistant to join our FE_Energy team in United States .
Your main tasks and responsibilities:
- Answer, direct, and respond to phone calls, emails, and messages in a timely manner.
- Greet visitors, clients, and employees in a professional and welcoming manner.
- Maintain the visitor log and inform relevant staff of guest arrivals.
- Manage and maintain the reception area, ensuring it remains organized and presentable.
- Collect, sort, distribute and prepare mail, messages, and courier deliveries.
- Order and maintain office supplies and inventory, including checking the breakroom and stocking supplies several times a day.
- Maintain an organized supply area for easy access.
- Assist with meeting and conference coordination, including ordering catering and coordinating the delivery and setup.
- Prepare meeting rooms with necessary supplies and equipment and maintain meeting rooms after each use.
- Responsible for ordering business cards and address any work order issues throughout the floors.
- Assist with other administrative tasks such as filing, data entry, and document preparation as needed.
- Support the team with special projects or events (including planning company events) as required.
To succeed in this role, you will need:
- High school diploma or equivalent.
- A minimum of 2 years’ experience as a receptionist or in a similar administrative role.
- Ability to handle confidential material / matters with integrity.
- Excellent communication (both verbal and written) and interpersonal skills, including highly developed grammatical, punctuation, spelling, and composition skills.
- Professional demeanor for high visibility position.
- Demonstrated proficiency on personal computer and Microsoft Office applications.
- Very organized, with ability to prioritize and work under pressure of multiple directors, tasks, and deadlines.
- Customer service oriented.
- Ability and willingness to work within a team environment in support of company objectives.
- Onsite work is an essential function of the job.
